How to Budget a Group Trip in India: A Per-Person Breakdown
The costs that make up a group trip — travel, stay, food, activities, guide and buffer — and how to turn them into one fair price per person.

Group trips go over budget because of the costs nobody listed. Build the price from its parts and you'll know exactly what each person pays — and what to cut if it's too high.
The parts of the price
- Travel to the destination and back: coach, train or flight, plus local transport there.
- Stay: room type and sharing (quad and triple sharing cost less per person than doubles).
- Food: which meals are included, and an allowance for the ones that aren't.
- Activities and entry tickets: monuments, safaris, rafting, workshops.
- Guide, host or trek leader, and any permits.
- Free seats for teachers or staff, spread across the paying travellers.
- Taxes as applicable, and a small buffer for surprises.
Turning it into a per-person price
Add up the total for the whole group (including the cost of free seats), then divide by the number of paying travellers. A room mix changes the number: if most students share four to a room and a few teachers take doubles, price each room type separately.
Ways to bring the price down
- Travel outside peak weekends and festival dates.
- Choose a closer destination — travel is often the biggest single cost.
- Share rooms (triple or quad sharing).
- Keep optional activities optional, paid by those who want them.
Ask for a written quote
A good quote shows every line above, the per-person total, the payment schedule and the cancellation terms. When we quote a group, it comes as a link the school, college or company can save as a PDF — see groups.
